ChatGPT adds shared projects for teams

ChatGPT now lets teams share projects, connect their work tools and better manage access to information. OpenAI introduced these features so businesses can use ChatGPT with more context and fewer switches between applications.

The update, announced on September 25, 2025, focuses on three areas: collaboration within ChatGPT, connections to company data and security controls for administrators.

A shared space for working with ChatGPT

Shared projects bring a team's conversations, files and instructions together in one place. ChatGPT uses that material as context to provide more consistent answers, so each person does not have to explain the work's goals or rules again.

For example, an accounts team can save a client's meeting notes, proposals and contracts in a project. One person can then ask for a summary to prepare a demo, while another drafts a follow-up email using the same information.

They can also help teams maintain a consistent style when creating content or prepare reports in different versions: an executive summary for leadership and a more detailed analysis for the finance team.

The person who creates the project can invite others by email or through a link with two access levels:

• Chat: lets people view and interact with conversations, files and instructions.
• Edit: also lets people modify instructions, add or remove files and invite more people.

Each shared project has its own memory. ChatGPT can remember details the team has added and use them in new conversations, while keeping that information within the project. In this first version, collaboration is asynchronous: each person can work independently, start a new conversation or explore an idea based on another one.

Shared projects are already available on the Business, Enterprise and Edu plans. They are disabled by default in Enterprise and Edu, and administrators can control access. OpenAI plans to bring them to the Free, Go, Plus and Pro plans soon.

ChatGPT connects to your company's tools

Connectors let ChatGPT search for information in services teams already use. The update adds connections to Gmail, Google Calendar, Google Contacts, Microsoft Outlook, Microsoft Calendar, Microsoft Teams, SharePoint, GitHub, Dropbox and Box, among other tools.

In practice, you can ask it to review recent emails before a meeting, find a template in Google Drive, locate a function in a codebase or identify outstanding tasks in a conversation.

ChatGPT can now automatically decide when it needs to use a connector, search the web or answer with information it already knows. It can also choose the most appropriate connector for each question, without requiring you to activate it manually in every conversation.

Data from GitHub, SharePoint, Dropbox and Box can be synced in advance to speed up responses and improve their accuracy. Connectors respect existing permissions: ChatGPT can only access information each user is already authorized to view.

Connectors are generally available and can be enabled from the settings. On Business plans, administrators manage which users can use them. They are disabled by default in Enterprise and Edu.

More controls for businesses

OpenAI also added features that give organizations greater control over data and access when deploying ChatGPT. They include:

• ISO/IEC 27001, 27017, 27018 and 27701 certifications.
• A SOC 2 report expanded to cover security, confidentiality, availability and privacy.
• Custom roles and group-based permissions in Enterprise and Edu.
• Support for OIDC in addition to SAML for single sign-on.
• Restrictions based on allowed IP addresses in Enterprise and Edu workspaces.

On Business plans, OpenAI says content shared with ChatGPT is not used to train its models by default. Data is also encrypted in transit and at rest.

For you, the main change is that ChatGPT is no longer just an individual chat. It is becoming more directly integrated into a team's daily work. It can help prepare meetings, draft documents, look up internal information or coordinate reports without constantly switching between applications.

OpenAI says it now has more than 5 million business users of ChatGPT. The next steps point to new connectors for CRM systems, ticketing systems, communication tools and knowledge bases, along with the ability to use them inside projects and GPTs. The challenge will be making sure that convenience does not reduce control: the more context AI has about your company, the more important it becomes to manage precisely who can access each piece of data.
